Development Coordinator

Department: Development & Special Events
Reports To: Senior Director of Development and Strategy
Designation: Full-Time

Position Summary: FIAF is looking for a Development Coordinator to be an integral part of our dynamic and energetic Development and Special Events team. Under the supervision of the Senior Director of Development and Strategy, s/he will support the annual fund and project-based activity of the department. The ideal candidate will be passionate about the arts and show a genuine interest in gaining experience in development and fundraising in a vibrant non-profit cultural organization.

Main Responsibilities:

  • Carrying out prospect research (corporate sponsors, institutional giving)
  • Producing sponsorship proposals and donor reports
  • Coordinating the year-round operations of FIAF's Corporate Member program and the expansion of the individual corporate membership base
  • Acting as the key point person for individual Corporate Member queries and enrollment
  • Ensuring proper donor recognition on communication materials
  • Contact, donation and prospect entry into Raiser's Edge database
  • Timely and accurate acknowledgement of all gifts
  • Donor cultivation and stewardship

Qualifications/Requirements

  • Bachelor's Degree required
  • Strong interpersonal and communication skills (written and verbal)
  • Ability to work independently, prioritize tasks, and exercise good judgment and initiative
  • Detail-oriented
  • Proficiency with basic computer skills (Word, Excel, Power Point, etc)
  • Proficiency with Raiser's Edge database or other constituent database preferred
  • Knowledge of French preferred
  • Positive attitude, team player, sense of humor

Sales & Events Manager

Reports To: FIAF President
Designation: Full-Time
Starting: November 1

Position Summary: FIAF is looking for a Sales and Events Manager to be an integral part of our Venue Rental and Event Management team.

Sales & Marketing:

  • Market and sell FIAF venues and catering packages to corporations, PR firms, event management companies, and organizations that hold events
  • Find new clients and generate new revenue streams (from new as well as existing clients)
  • Identify appropriate networking places to list, promote, and advertise FIAF’s venues
  • Coordinate with other FIAF departments, including External Affairs, Membership, and Marketing to promote venues with FIAF’s constituencies
  • Assist Rental & Event Manager on incoming inquiries
  • Work to advance the image of events held at FIAF by being the primary contact of clients for the implementation of their event

Budgeting & Financing:

  • Create (with Finance Department), manage, and monitor the Rental Department budget and forecasts
  • Control and monitor all expenses
  • Generate all income reports & rental client lists
  • Keep accurate records of all rental activities & history
  • Keep track and ensure timely payment of all deposits and settlements
  • Gather information from Technical Director, Events Manager, and Box Office Manager regarding additional expenditures and work with accounting to ensure that all additional expenditures are charged back to the client

Calendar Management:

  • Maintain master schedule for all FIAF & rental client events in Artifax
  • Work closely with FIAF departments to locate available dates for their events & resolve conflicts
  • Counsel clients on best available dates for their events

Event Management (Rental & FIAF Events)

  • Manage all aspects of multi-scale events for clients and for FIAF from inception to completion (except staffing & payroll)
  • Work closely with other team member to ensure that set up of facilities are in accordance with client needs for all events including rehearsals, performances, meetings and receptions (tech, staffing & building requirements)
  • Welcome clients upon arrival for rehearsals and/or events
  • Follow up with clients after each event to discuss feedback on event and to give clients the opportunity to book future events
  • Meet weekly with all parties involved to oversee schedules and planning of the events for upcoming weeks

Qualifications/Requirements

  • Bachelor's Degree required
  • Relevant experience in sales and events management

Interim Event Producer

Department: Cultural Programs
Reports To: Artistic Director
Designation: Full-Time

Position Summary: This is a full-time position during a maternity leave replacement for FIAF’s Event Producer from October 22, 2018 and finishing on April 23, 2019. The Interim Event Producer will be responsible for producing FIAF’s cultural programs; FIAF’s annual festivals (Animation First and TILT Kids Festival), FIAF’s theater season, as well as the gallery exhibitions and talks. The Interim Event Producer will also be responsible for preliminary planning and budgeting for FIAF’s annual Crossing the Line Festival. The Interim Event Producer reports to the Artistic Director. This is not a curatorial position.

Main Responsibilities:

  • Prepare contracts for the productions of the season as well as partnership agreements with outside partners.
  • Prepare budgets for the programs, and direct the maintenance of records of expenditures, and receipts related to the events.
  • Logistics: Coordinate flights, hotels, and local transportation for artistic teams
  • Hospitality: Prepare all aspects of the artists needs for their stay in NY and for their performances at FIAF (green room hospitality, etc…)
  • Visa: With FIAF’s lawyers, coordinate visa processing for artists
  • Technical Support: Coordinate with Production Manager all production needs, serve as a liaison between artists and FIAF’s Production Manager
  • Coordinate the administrative life of the cultural programs department including financial reports and requests.

Qualifications/Requirements

  • Bachelor of Arts Degree with 5 years experience and/or focus in arts administration
  • Administrative work experience in a diverse arts environment
  • Knowledge of Microsoft Office: Excel, Word
  • Understanding of the elements and processes of performing arts production, including contracting, budgeting, fundraising, touring, etc.
  • Interest in working with artists and companies
  • Excellent written communication skills
  • Knowledge of FIAF mission and programming
  • Some knowledge of French is a plus

English Language Instructor

Hours: Should be available 9am-9pm on weekdays and 9am-5pm on Saturdays

Position Summary: To meet the needs of French speaking expatriates living in the United States, the French Institute Alliance Française (FIAF) has developed a program to improve verbal and written English skills quickly and effectively. FIAF offers one-on-one and group (2-3 students) private English lessons for adults, kids (ages 5-10) and teens (ages 11-17) from beginner to advanced levels, including native-speakers. FIAF is looking for an enthusiastic teacher of English as a Foreign Language to teach English language and culture to expatriate employees of French companies, young children, and teens. The teacher will plan, implement and assess lessons and will teach with patience and creativity. The teacher will be asked to teach at FIAF's Manhattan center, online, or in the offices and houses of the students around Manhattan.

Main Responsibilities:

  • Conduct placement test to assess students‘ initial English level according to the Common European Framework of Reference for Languages (CEFR)
  • Design and follow a complete teaching plan about English language and culture
  • Organize learning material and resources
  • Use a variety of activities and instructional methods relevant to the audience to stimulate the learning process and the students’ abilities
  • Assess students’ performance and progress to ensure they are mastering the skills on regular basis
  • Monitor students’ interactions in the classroom (for semi-private lessons) and nurture cooperation and sharing
  • Cooperate with administration staff

Qualifications/Requirements
