Job Title: Database & Patron Services Coordinator
Department: Development
Reports to: Senior Director of Development and Strategy
Designation: Exempt full-time

Position Summary:

FIAF is looking for a Database & Patron Services Coordinator to be an integral part of our dynamic and energetic development and special events team. Under the supervision of the Senior Director of Development and Strategy, the coordinator will oversee FIAF’s database management; assist in maintaining, implementing and expanding FIAF’s membership program; and support the fundraising activity of the department. The ideal candidate will be tech-savvy and show a genuine interest in gaining experience in database management, membership, development and fundraising in a vibrant non-profit cultural organization.

Responsibilities:

Database Management (Raiser’s Edge)

  • Maintain, improve database and reporting systems.
  • Implement list segmentation and provide other data analyses needed.
  • Process membership payments and manage member records.
  • Generate membership cards for all member types and prepare materials for digital or physical mailings. Work with volunteers in preparing mailings.
  • Process all donations and manage donor database records.
  • Update contact information and perform data cleanup as needed.
  • Regularly benchmark membership and database policies of similar organizations.

Member and Patron Services

  • Maintain detailed knowledge of FIAF’s programs and respond to general membership inquiries via email, phone, mail, and in-person.
  • Draft correspondence for membership, including renewal and thank you letters.
  • Draft acknowledgement letters for donors.
  • Provide special ticket services for upper-level members as needed.
  • Manage membership materials inventory.
  • Research donor and member prospects.
  • Contribute to developing new membership strategies and identify new marketing opportunities.

Departmental Support

  • Provide additional administrative support as needed.
  • Assist in producing and executing member and development events as needed.
  • Participate in brainstorming and creating new membership and development events.
  • This role will require occasional evening work.

Qualifications:

  • 2+ years demonstrated in membership, development or database management in cultural institution or nonprofits strongly preferred.
  • Previous experience with Raiser’s Edge or other database strongly preferred.
  • Strong interpersonal and communications skills (written and verbal).
  • Proven ability to work in a collaborative, team-oriented environment, and provide excellent customer service.
  • Excellent time management and computer skills, including Microsoft suite (Word, Excel, Power Point, Outlook, etc.).
  • Ability to meet deadlines, work on multiple projects, and interact with staff at all levels; be detail-oriented.
  • Creative, analytical, energetic team player and self-starter with a good sense of humor and a strong desire to succeed.
  • Willing to work overtime periodically as needed, in office and at events, including evenings, weekends, and some National holidays.
  • Knowledge of French a plus.

Job Title: Executive Assistant
Department: Executive
Reports to: President
Designation: Exempt full-time

Position Summary:

The Executive Assistant provides administrative support and assistance to the President. This position provides a unique, top-down view of how a cultural non-profit operates and requires close collaboration with all department heads (Marketing, Cultural Programs, Language Center, Development, Membership, Finance).

Responsibilities:

Executive Office Support
• Screen all communications for the President and draft correspondence in French and English: emails, presentations, speeches and Thank you notes.
• Coordinate and disseminate information as pertaining to other departments regarding donor meetings, phone calls and/or correspondence
• Manage executive office calendar, including regular scheduling of internal and external meetings and conference calls, and minute taking
• Maintain contacts in President’s personal outlook database and in Raiser’s Edge
• Copy-write and prepare FIAF’s Annual Report
• Assist with a significant number of cultivation events including Galas and other VIP events.
• Compile and distribute notes for meetings and calls: specifically, the weekly Executives meeting
• Plan President’s travel arrangements, itineraries
• Prepare and submit expense reports
• Assist in the organization of various personal matters of the President.

Board Support
• Organize meetings of Board committees in coordination with Committee Chairs
• Organize quarterly meetings of the Board of Trustees, including document preparation. Attending all meetings and taking minutes
• Serve as primary contact for all Board member communications and needs
• Maintain Board Records

Qualifications and Skills:
• BA required, as well as some prior office experience
• Fluency in French, both written and oral, is a must
• Must be an excellent writer with strong analytical skills
• Must be well-organized, detail-oriented, and professional with exemplary time management skills and the ability to prioritize
• Must be able to deal efficiently under pressure and multi-task while being personable
• Must feel comfortable dealing with high-level donors and the President’s guests

Position Summary:

French Institute Alliance Française (FIAF) seeks an experienced, highly organized, and resourceful manager for a fast-paced marketing and communications department.

Responsibilities and duties:
• Write marketing copy and create dynamic content for all of FIAF’s channels, including the website and social media for FIAF’s award-winning language center and cultural events, including special events
• Work with the VP of Marketing on all integrated marketing and publicity efforts, including email marketing and press outreach
• Manage CMS by building and updating webpages and event registration portals
• Implement and oversee strategies and timelines for marketing communications
• Maintain marketing calendar and act as inter-departmental trafficker and proofreader to ensure consistency of FIAF style and brand messaging across all print, web, video, and digital assets
• Analyze and report on web traffic and social media performance, including paid digital advertising, to help inform new strategies and campaigns
• Coordinate photo/video needs for the department and maintain archive for both
• Process departmental invoices and assist in managing multiple marketing budgets
• Manage and cultivate partnerships to increase visibility for FIAF, including school outreach, promotional programs, and trades with similar organizations

Qualifications and Skills:
• A minimum of 7 years of proven successful experience in marketing or public relations is preferred.
• The individual must also possess excellent writing and presentation skills with a strong eye for details.
• The ideal candidate is a reliable self-starter with an ability to take initiative and follow through with measurable results.
• The individual must be able to make timely and quality decisions based on a mixture of analysis, wisdom, humor, and good judgement, and must be able to multi-task effectively in a fast-paced environment.
• Excellent human relations skills are a must, as is the ability to work in a multi-cultural, multi-ethnic environment.
• French language skills are ideal, though not required.

FIAF Montclair is looking for enthusiastic teachers of French as foreign language to teach French language and culture to young children, teens and adults. The teacher will plan, implement and assess lessons and will teach with patience and creativity. FIAF Montclair is a branch of the French Institute Alliance Française (FIAF) in Manhattan offering language-learning programs for adults, toddlers (ages 1-4), kids (5-10) and teens (11-17) from beginner to advanced levels, including French for native-speakers.

Responsibilities

  • Design and follow a complete teaching plan about French language and culture
  • Organize learning material and resources
  • Use a variety of activities and instructional methods relevant to the audience to stimulate the learning process and the students’ abilities
  • Assess students’ performance and progress to ensure they are mastering the skills on regular basis
  • Monitor students’ interactions in the classroom and nurture cooperation and sharing
  • Cooperate with administration staff
