The French Institute Alliance Française (FIAF) is a multi-disciplinary educational and cultural organization with locations in Manhattan, New York and Montclair, New Jersey. Its mission is to promote and enhance the knowledge and appreciation of French and francophone cultures, to increase the knowledge of the French language, and to encourage interaction among French, francophone and American people through education and cultural programs. Job Title: Digital Marketing Manager
Department: Marketing & Communications
Reports to: Deputy VP of Marketing & Technology
Designation: Full-Time (Salary: $65,000 – $75,000 annually)

Position Overview:
The Digital Marketing Manager plays a key role in FIAF’s Marketing team, coordinating with other team members to support the promotion and expansion of FIAF’s various activities. This position, reporting to the Deputy VP of Marketing & Technology, has email marketing, digital advertising, and web support as the core of its job responsibilities.

Email Marketing Responsibilities

  • Develop, implement, and execute email marketing campaigns in support of FIAF-wide communications, events, and language center offerings
  • Plan and manage a calendar of email communications, under the direction of the Deputy VP and VP
  • Research, develop, and implement email strategies (including A/B testing) that will optimize engagement and guide users to desired actions
  • Develop dynamic email lists based on interests and past actions for targeted communications and remarketing purposes
  • Analyze and report on email campaign performance to help inform new strategies and campaigns, providing regular updates during the marketing team meeting around learnings

Digital Advertising Responsibilities

  • In collaboration with the Deputy VP, manage always-on lead-generating digital ad campaigns
  • Manage calendar of ad campaigns, liaising with FIAF’s digital advertising agency to coordinate campaign information and updates
  • Pull reports to determine effectiveness of campaigns, and strategize with Deputy VP and agency partners to provide data-based recommendations
  • Draft copy and work with FIAF Design Team to create compelling visual assets (images, videos, GIFs) for digital ads
  • Oversee outreach to leads brought in by digital ads, via email, text message, and phone call
  • Collaborate periodically with Deputy VP and VP to review and update outreach messages to leads

Website

  • In collaboration with the Deputy VP, create and update webpages on FIAF’s website for new announcements, events, and classes
  • Proactively offer suggestions for improvement to website
  • Regularly review the communications calendar to ensure that you are prepared for upcoming additions to the website
  • Communicate clearly with marketing team and internal stakeholders on what is needed and by when in order to have the website pages updated in a timely manner
  • Collaborate with Deputy VP and VP to enhance SEO of the FIAF website to drive further traffic
  • Use SEO learnings to inform webpage decision-making, including copy and image choices

Qualifications

  • Education: Bachelors in a Communications, Marketing or related field preferred
  • At least two years of progressively responsible experience in a digital and/or email marketing position, ideally in a higher education, cultural, or nonprofit organization
  • Experience managing a communications or email calendar and coordinating communication requests from multiple stakeholders
  • Experience working and building within a CRM and marketing automation system
  • Experience coordinating with internal stakeholders and partners on marketing requirements, delivery of assets, and production timelines
  • Experience with the creation and maintenance of target email lists, and collaborating with database administrators on dynamic list development, segmentation, cleansing, maintenance, and the processing of subscribes/unsubscribes
  • Excellent copywriting, editing and proofreading skills

Job Title: Private & Corporate Instruction Programs Coordinator

The FIAF Language Center is the largest language school dedicated to teaching the French language in the tri-state area. With more than 6,000 registrations annually, we offer French in two convenient locations: Manhattan’s Upper East Side and Montclair, NJ.

Position Summary: The Private and Corporate Instruction Programs Coordinator, a full-time position, is responsible for the conception, development, organization, and promotion of online, onsite, and offsite individual and corporate instruction teaching programs for the Language Center of the French Institute Alliance Française, the largest French language school in the United States.

Main Responsibilities:
The ideal candidate is committed to the highest level of customer service and strives to foster excellent public relations. He/She is under the direct supervision of the Deputy Vice President of the Language Center and works with the other FIAF departments to ensure a coordinated and unified service.

  • The coordinator is responsible for the day-to-day operation of the private and corporate instruction of the FIAF Language Center: scheduling of classes and instructors, follow-up at the administrative and pedagogical levels, budgeting and billing, statistics, technology enhancements, reports, submission of proposals to corporate clients, and development of customized programs.
  • The Coordinator is responsible for the development of the corporate client base: canvassing of clients, establishment of sales objectives, statistics, and creation of marketing campaigns and materials. The coordinator must collaborate with FIAF’s Development Team in this respect.
  • The Coordinator is responsible for the development of new products and services in response to evolving private and corporate instruction needs and ensures long-term planning of private and corporate instruction services.

Additional Responsibilities include but are not limited to:

  • Answers questions by phone and email

Office Administration (40%)

  • Schedules teachers and classes; coordination of schedules

  • Deals with daily changes and updates, cancellations, and rescheduling.

Management and development (20%)

  • Plans strategies to increase enrollment through research and development.

Job Title: Preschool Teacher

Position Overview:
The French Institute Alliance Française (FIAF), is looking for a full-time Preschool Teacher for its Preschool, an immersion French program designed for toddlers and preschoolers (ages 2.5 to 4.5). The teacher will be responsible for planning and implementing developmentally appropriate activities designed to teach French, while promoting social, emotional, cognitive, and physical growth in toddler and preschool-aged children.

Position Overview:
FIAF is looking for a Database & Patron Services Coordinator to be an integral part of our dynamic and energetic External Affairs team.
Under the supervision of the Vice President of Development, the coordinator will oversee FIAF’s database management; assist in maintaining, implementing and expanding FIAF’s membership program; and support the fundraising activity of the department. The ideal candidate will be tech-savvy and show a genuine interest in gaining experience in database management, membership, development and fundraising in a vibrant non-profit cultural organization.

Responsibilities:

Database Management (Raiser’s Edge)

  • Maintain, improve database and reporting systems.
  • Implement list segmentation and provide other data analyses needed.
  • Process membership payments and manage member records.
  • Generate membership cards for all member types and prepare materials for digital or physical mailings. Work with volunteers in preparing mailings.

Job Title: Special Events Intern
Reports to: Special Events Manager
Date: from August 2023 to February 2024 or August 2023 to August 2024

Position Overview:
Under the supervision of the Special Events Manager, the intern will assist the Special Events team to coordinate both the content and the logistics of FIAF’s special events within the framework of the Development Department’s mission, which is to raise funds for FIAF and to cultivate our patrons. This position plays an important role in coordinating our special events and assisting our development efforts.

Responsibilities:

  • Assist the special events team on the following events: Bastille Day celebration, Trophée des Arts Gala, Members Holiday Party, and others as assigned
  • Brainstorm and support with creating presentations and communication materials for events and special projects
  • Research, liaise and secure auctions donations
  • Manage relationships with both auction donors and winners pre and post event
  • Manage prospects list of potential partners and solicitation outreach
  • Create an effective project management system to successfully oversee the end-to-end events process from planning to delivery

Social Media Responsibilities

  • Manage social media channels
  • Collaborate with the team members to organize social calendar topics and draft copy
  • Create original video and Reels content for social media channels
  • Attend events and language center programs to take pictures and videos for social media channels
  • Research and develop strategies for each platform, including doing competitive research
  • Research, explore, and develop expanding on to new social platforms, such as Letterboxd, LinkedIn, YouTube, TikTok

Position summary:
FIAF is seeking an experienced Manager of Institutional Giving to be an integral part of our dynamic External Affairs team. Reporting to the Vice President of Development, the Manager of Institutional Giving is responsible for FIAF’s foundation, government and corporate fundraising. They will target both general operating support and restricted support for key educational initiatives and cultural programs across artistic disciplines. The ideal candidate will be passionate about the arts and education with a genuine interest in deploying their fundraising skills in a vibrant non-profit organization.

Principal responsibilities:

  • Identifying foundation funding opportunities, crafting grant proposals and reports, tracking grant calendars and deadlines, managing relationships with key foundation contacts.
  • Writing corporate sponsorships proposals and reports, tracking deliverables and renewals, expanding the individual corporate membership base by working creatively with partners, managing relationships with key corporate contacts.
  • Managing government funding opportunities, including writing grant proposals and reports, tracking grant calendars and deadlines, managing relationships with grant makers.
  • Ensuring proper donor recognition on communication materials and at events.

Job Title: Events Operations Manager
Department: External Affairs

Designation: Non-Exempt Full-Time (Salary: $70,000 – $80,000 annually)

About FIAF:
French Institute Alliance Française is not-for-profit 501(c)(3), non-governmental organization incorporated in the state of New York. Its mission is to promote and enhance the knowledge and appreciation of French and francophone cultures, to increase the knowledge of the French language, and to encourage interaction among French, francophone and American people through programs in education and the arts.

Position summary:
The French Institute Alliance Française (FIAF) seeks an experienced candidate for the open position of Events Operations Manager. Under the direction of the Vice President of Development, this person will manage all aspects of multi-scale events from inception to completion.

Qualifications:
The individual must have the ability to manage the event plans and work closely with other departments to ensure that all operational requirements of the events are fulfilled. The ideal candidate must be detail-oriented and resourceful and possess excellent problem-solving skills. Good human relations skills are a must, as is the ability to work in a multi-cultural environment. Some French language skills are ideal, though not required.

The individual shall possess a minimum of a baccalaureate degree from an accredited college or university in a related field. A minimum of four years of proven successful experience in events management is preferred.

Principle activities include, but are not limited to:

General

  • Oversee the planning, coordinating, and implementing of events across venues, including all FIAF events and rental events, to maximize service quality effectiveness and efficiency
  • Responsible for managing relationships across multiple stakeholders at senior-most level
  • Work with External Affairs Department and Events Management team to increase rental activities and revenue within the framework of FIAF’s mission
  • Supervise a team of Sales & Operations Assistant and hourly Front of House staff.
  • Event sales and management
  • Plan internal FIAF events for all departments including Programming, Language Center, External Affairs, in collaboration with FIAF teams
  • Field inquiries from external rental clients with the aim of converting into event sales.
  • Plan and coordinate all external rental client events
  • Maintain relationships with vendors necessary to plan and implement events, including contracting and payment of invoices.
  • Responsible for catering sales including generating revenue, creating budgets, processing payment, negotiating costs, as well as creating menus and hiring caterers
  • Collaborate within the External Affairs and Marketing Departments to develop promotional and commercial strategies to acquire new clients and generate new revenue streams

Staffing

  • Responsible for interviewing, hiring, scheduling, training all Front of House staff
  • Ensure the payroll is complete, accurate and on time for the department
  • Schedule maintenance & security during non-business hours

Budgeting

  • Create budgets for all events: Estimate/execute/advise/stay on target for all events
  • Responsible for event expenses, producing financial reports & tracking, & processing event expenses & budgets
  • Prepare event-specific expense budget projections for all department monitors and report periodically on the results of such efforts
  • Purchase, manage, maintain inventory of all in-house supplies: beverages, cups, plates, and cutlery etc.
  • Prepare monthly excel sheets for accounting to allocate supply costs appropriately
  • Prepare monthly department expense reports
  • Support annual rental budget and forecasts

FIAF Montclair is looking for enthusiastic teachers of French as foreign language to teach French language and culture to young children, teens and adults. The teacher will plan, implement and assess lessons and will teach with patience and creativity. FIAF Montclair is a branch of the French Institute Alliance Française (FIAF) in Manhattan offering language-learning programs for adults, toddlers (ages 2-5), kids (5-11) and teens (11-18) from beginner to advanced levels, including French for native-speakers. Responsibilities

  • Teach French classes in person Tuesday through Saturday. Teaching hours can be scheduled Tuesday through Friday between 7:30am and 3:30pm, between 9:45am and 5:45pm, or between 1:15pm and 9:15pm, and Saturday between 8:45am and 4:45pm. Teaching schedules can change from session to session.
  • Design and follow a complete teaching plan about French language and culture

Position Summary:
Under the supervision of FIAF’s Programming Manager and FIAF’s Director of Cultural Affairs, the intern will assist the Programming team to plan, produce and present FIAF’s various artistic programs. Members of the department are committed to a positive artist, audience, and co-worker experience and high-level production values. The Programming intern will work in close collaboration with every member of the team, gaining a unique insight into the innerworkings of running cultural events in an American non-profit organization.

Date: From August 2023 to August 2024

Salary & Benefits: $2275/month (before taxes). 8 vacation days to be taken throughout the year + the week between Christmas and New Year + American holidays (list on FIAF’s website).

Main responsibilities:

  • Assist the Programming team in the presentation of the following events (but not limited to): Performing arts events, visual arts exhibitions, talks, Crossing the Line festival, Tilt Kids Days, Bastille Day.
  • Assist FIAF’s Director of Cultural Affairs in developing cultural content: participate in discussion with artists and/or agents, research potential programs and speakers.
  • Assist FIAF’s Programming Manager in the production and day-to day operations of FIAF’s cultural programs in-person and online (assist to the preparation of artist’s visas, book flights and accommodation for artists, prepare hospitality during performances, etc.)

  • Assist the Programming team with general office maintenance and administrative tasks (draft expense reports)

Graduate students, prior experience in performing arts management preferred
