Job Title: Marketing & Social Media Manager
Department: Marketing & Communications
Reports To: Director of Communications

About FIAF:
FIAF is a multi-disciplinary educational and cultural organization located in midtown Manhattan. Its mission is to promote and enhance the knowledge and appreciation of French and Francophone culture, to increase the knowledge of the French language, and to encourage interaction among French, Francophone and American people through education and cultural programs. FIAF has an extensive Language Center offering hundreds of classes, a French Library, and cultural programs ranging from cinema and performing arts to visual Arts and social event programs.

Position Summary: The Marketing & Social Media Manager plays a key role in FIAF’s Marketing team, coordinating with other team members to support the promotion and expansion of FIAF’s various activities. This position, reporting into the Director of Communications, has social media and press relations as its core focus, as described below.

Social Media Responsibilities:

  • Manage social media channels
  • Create and manage calendar of social media posts
  • Create original video content for social media channels
  • Research and develop strategies for each platform, including doing competitive research
  • Oversee the Marketing Intern on the following:
    • Social media data analysis and reporting
    • Drafting copy for the promotion of cultural events

Press:

  • Develop promotional outreach strategy for cultural events
    • Oversee Intern on reaching out to these institutions
    • Strategize with Director and Intern on how to split the outreach list
  • Create templates for press releases and media alerts for Director to complete and send
  • Collaborate with Director to discuss press pitching and split lists
    • Manager to focus on International press and Director to focus on Domestic press
  • Welcome journalists and photographers at cultural events, splitting duties with Director & VP
  • Book photographers and videographers for events

Marketing Intern Management:

  • Be an active manager for the Marketing Intern, helping to develop their expertise and educating them about working at FIAF/in the non-profit/cultural sector

Qualifications:

  • Education: Bachelors in a Communications, Marketing or related field preferred

Job Title: Staff Accountant
Department: Accounting
Reports To: Comptroller
Designation: Non-exempt full-time salary with benefits

Position Summary: The French Institute Alliance Française (FIAF) seeks a candidate for the position of Staff Accountant. Under the direction of the Comptroller, the Staff Accountant will be responsible for general accounting and bookkeeping responsibilities as well as assisting the team with various projects.

Main responsibilities may include, but not be limited to:

  • Process invoices by check or wire and posting them to the correct ledger in QuickBooks
  • Review expense reports and statements and process and post them to correct accounts
  • Prepare weekly bank deposits and post them to the general ledger
  • Coordinate with our various departments to follow-up on questions about payments and receivables
  • Process payroll using ADP Workforce now
  • Process bi-weekly funding for 403b, FSA and Transit
  • Assist with annual audit
  • Prepare annual 1099 forms

Qualifications:

  • Bachelor’s in Accounting or Finance required.
  • Fluent English, Spoken French a plus.
  • At least 3 years of experience in accounting, preferably in a not-for-profit organization
  • Working knowledge of payroll systems, such as ADP Workforce now

Position Summary: FIAF is looking for a HR Assistant to join our organization. In this position, you will help organize, coordinate and carry out all human resource department projects and processes for the company. You will work directly with and assist the human resources director to fulfill a variety of necessary HR tasks. This includes all hiring, firing, training and company education procedures for new or existing employees. You must track and maintain all employee data (contact information, earning rates, absences, promotions, etc.) often using paper and HRIS (Human Resource Information System) software, so strong computer and clerical skills are a must. You will also help maintain positive employee relations and work to ensure worker satisfaction through education of HR policies and by fostering a positive work environment. You should be highly organized, detail-oriented and most importantly, personable and approachable.

Duties & Responsibilities:

  • Work directly with the HR Director regarding all HR endeavors
  • Support HR department in educating employees on and enforcing company policies

Job Title: Sales & Events Manager
Department: Events Management
Reports to: Director of Operations
Designation: Full-time

Position Summary: Under the supervision of the Director of Operations, the Sales and Events Manager is responsible for the oversight, management, development, implementation, and coordination of FIAF events and rentals to support the mission and goals of the organization. The Sales and Events Manager must be able to work well in a team environment as well as with a range of people and personalities. Successful candidates will be expected to demonstrate success in an event function. This is a full-time position, which is based at FIAF.

Marketing and Sales:

  • Market and sell the venues & catering packages to corporations, PR firms, event management companies and organizations that hold events
  • Find new clients and generate new revenue streams (from new as well as existing clients)
  • Identify appropriate networking places to list, promote, and advertise FIAF’s venues
  • Coordinate with other FIAF Departments, including External Affairs, Membership and Marketing to promote venues with FIAF’s constituencies
  • Assist the Events Coordinator with new inquiries and managing events’ logistics
  • Work to advance the image of events at FIAF by being the primary contact of clients for the implementation of their event

Budgeting & Financing:

  • Build, manage and monitor the Rental Department’s budget and forecasts
  • Control and monitor all expenses
  • Generate all income reports & rental client lists
  • Keep accurate records of all rental activities & history
  • Keep track and ensure timely payment of all deposits and settlements
  • Gather information from Technical Team, Events Coordinator, and Box Office Manager regarding additional expenditures and work with accounting to ensure that all additional expenditures are charged back to the client

Calendar Management:

  • Maintain master schedules for all FIAF & rental events in Artifax
  • Work closely with FIAF departments to locate available dates for their events & resolve conflicts
  • Counsel clients on best available dates for their events

Event Management (Rental Department & FIAF’s events):

  • Manage all aspects of multi-scale events for clients & for FIAF events from inception to completion (except staffing & payroll)
  • Work closely with other team members to ensure that set up of facilities are in accordance with client needs for all events including rehearsals, performances, meetings and receptions (tech, staffing & building requirements)
  • Welcome clients upon arrival for rehearsals and/or events
  • Follow up with clients after each event to discuss feedback on event and to give clients the opportunity to book future events
  • Meet weekly with all parties involved to oversee schedules and planning of the events for upcoming weeks

Education & Skills:

  • Bachelor’s degree – Master’s Degree preferred
  • Experience in event management required
  • Detail-oriented with strong project management skills required

FIAF Montclair is looking for enthusiastic teachers of French as foreign language to teach French language and culture to young children, teens and adults. The teacher will plan, implement and assess lessons and will teach with patience and creativity. FIAF Montclair is a branch of the French Institute Alliance Française (FIAF) in Manhattan offering language-learning programs for adults, toddlers (ages 2-5), kids (5-11) and teens (11-18) from beginner to advanced levels, including French for native-speakers. Responsibilities

  • Teach French classes in person Tuesday through Saturday. Teaching hours can be scheduled Tuesday through Friday between 7:30am and 3:30pm, between 9:45am and 5:45pm, or between 1:15pm and 9:15pm, and Saturday between 8:45am and 4:45pm. Teaching schedules can change from session to session.
  • Design and follow a complete teaching plan about French language and culture
