Job Title: Executive Assistant
Reports to: President

Position Summary: The Executive Assistant provides administrative support and assistance to the President. This position provides a unique, top-down view of how a cultural non-profit operates and requires close collaboration with all department heads (Marketing, Cultural Programs, Language Center, Development, Finance and Human Resources).

Responsibilities:

1. Executive Office Support

    • Screen all communications for the President and draft correspondence in French and English: emails, presentations, speeches and thank you letters.
    • Coordinate and disseminate information pertaining to other departments regarding donor meetings, phone calls and/or correspondence
    • Manage executive office calendar, including regular scheduling of internal and external meetings and conference calls, and minute taking
    • Maintain contacts in President’s personal outlook database and in Raiser’s Edge
    • Copy-write and prepare FIAF’s Annual Report
    • Assist with a significant number of cultivation events including Galas and other VIP events
    • Compile and distribute notes for meetings and calls: specifically, the biweekly Internal Affairs meeting and monthly Staff meeting
    • Plan President’s travel arrangements and itineraries
    • Prepare and submit expense reports
    • Assist in the organization of various personal matters of the President

2. Board Support

    • Organize meetings of Board committees in coordination with Committee Chairs
    • Organize quarterly meetings of the Board of Trustees, including document preparation. Attending all meetings and taking minutes
    • Serve as primary contact for all Board member communications and needs
    • Maintain Board Records

Qualifications:

      • BA required; Master’s degree preferred
      • Mastery of Office 360 tools (outlook, word, excel, Adobe), including InDesign and PowerPoint presentations required
      • Prior experience as executive office assistant preferred
      • Fluency in French, both written and oral, is a must

Position Summary: FIAF seeks an experienced, highly organized, and creative candidate for the open position of Communications Director. Under the direction of the Vice President of Marketing & Communications, the Communications Director is responsible for all FIAF press, public relations, and social media.

Main Responsibilities:

      • Create, implement, and oversee strategies and timelines for communications, public relations, press, and social media
      • Devise innovative press strategies, write press releases, distribute press materials and media packages, maintain media contact lists in diverse fields, obtain preview articles, press listings and reviews, and manage press archives, photos, and digital files
      • Create dynamic institutional and editorial content for all FIAF’s channels, including the website, newsletters, and social media
      • Work closely with the programming teams and artists to best determine communication plans for each FIAF event or initiative
      • Work closely with the Language Center to best determine communication plans for seasonal language courses
      • Coordinate with members of the press as well as the press departments of partner organizations to keep FIAF’s message/brand consistent

Qualifications:

      • Education: Bachelors in a Communications, Marketing, or related field preferred

Job Title: Associate Production Manager
Department: Events Management
Reports to: Production Manager

Position Summary:

The Associate Production Manager is responsible for duties that directly support the production of performances and events at FIAF. This position assists the Production Manager with overseeing the planning and execution of performances and events. Simple in-house production may be handled solely by the Associate Production Manager. The Associate Production Manager works closely with many internal and external partners and helps to manage multiple projects concurrently with great attention to detail. The ability to manage a crew and work with performers or clients in a calm and professional manner during stressful situations is crucial. The ability to be a team player and a strong leader simultaneously is essential. Must be able to work some nights and weekends depending on the production schedule.

Responsibilities & Duties (include but are not limited to):

  • Supervision of load-in/run-of-show/load-out while maintaining a safe working environment.
  • Coordinates with lead crew members to facilitate maintenance of in-house equipment including minor repairs or sending equipment out for repair.
  • Serves as Production Manager when the Production manager is off-site.
  • Willingness to learn about the lighting, sound, and projection systems in order to help troubleshoot. Experience with these systems is preferred but not required.
  • Assists with the purchasing of small items needed by the department such as batteries, light bulbs, hardware, etc.
  • Creates and maintain an inventory of FIAF’s technical equipment
  • Helps to keep the venues and backstage areas organized and tidy.
  • Assists with technical crew scheduling and maintaining the crew calendar.

  • Associate degree required; bachelor’s preferred
  • A minimum of 2 years of Production Management required, Stage Management experience a plus but not required.

The French Institute Alliance Française (FIAF) is currently looking for a Programming Intern to join its team.

Position Summary:

Under the supervision of FIAF’s Director of Programming, the intern will assist the Programming team to plan, produce and present FIAF’s various artistic programs. Members of the department are committed to a positive artist, audience, and co-worker experience and high-level production values. The Programming intern will work in close collaboration with every member of the team, gaining a unique insight into the innerworkings of running cultural events in an American non-profit organization.

Date: From September 2022 to August 2023 (possibility to start in August)

      • Assist the Programming team in the planning and presentation of the following events (but not limited to): Performing arts events, talks, Crossing the Line festival, Tilt Kids Festival, Young Audience Program.
      • Assist FIAF’s Director of Programming in developing cultural content: participate in discussion with artists and/or agents, research potential programs and speakers.
      • Assist FIAF’s Programming Manager in the production and day-to day operations of FIAF’s cultural programs (in-person, hybrid or online.)
      • Assist FIAF’s Programming Manager in maintaining records of expenditures and receipts for budget maintenance and recording.
      • Support the organization of FIAF’s Young Audience Program: assist in researching and identifying content, reach out to potential speakers, write study guides, coordinate registration of participating schools.
      • Write notes for meeting (regular team meetings and quarterly Board meetings)
      • Assist the Programming team with general office maintenance and administrative tasks (help plan business trips, draft expense reports, schedule meetings)
      • Help during company-wide events such as Bastille Day, Trophée des Arts Gala

Education and Work Experience Required:

Graduate students, prior experience in performing arts management preferred

Skills and requirements:

      • Strong organization skills: ability to multitask and maintain focus in a fast-paced environment
      • Strong knowledge of French artistic scene
      • Familiarity with New York artistic scene
      • Precise eye for details; ability to maintain accurate records
      • Strong written and oral communication skills
      • Ability to take initiative
      • Creative problem-solving skills
      • Excellent level of English – bilingual candidates strongly preferred
      • Availability to attend several evening events online or in-person (at FIAF or at partnering venues)
      • Proficiency in Microsoft Office; including Word, Outlook, and Excel
      • Self-motivated, positive attitude, team player
      • Must be fully vaccinated against COVID-19.

The French Institute Alliance Française (FIAF), New York’s premier destination for French language and culture, seeks volunteer assistants for its summer camp programs for Toddlers (ages 3 & 4), Kids (ages 5 to 10) and Teens (ages 11 to 14).

Program duration: From June 20th to August 12th, 2022, 9:00am-4:30pm (Commitment 2 weeks minimum)

The ideal candidates will have the following:

      • An intermediate to advanced level of spoken French, sufficient to understand and speak with children, teachers, and parents without relying on English
      • Be at least 16 years old (high school, college, graduate student)
      • Interest and experience working with kids (babysitting, camp counselor, nanny, au pair…)
      • Fully vaccinated against COVID-19 with a Centers for Disease Control (CDC) or World Health Organization (WHO) authorized vaccine (or approved for an exemption as a reasonable accommodation due to a qualified disability or sincerely held religious belief or other legal basis).
      • Located in New York and can commute to FIAF Manhattan.

Daily activities will include but will not be limited to:

      • Prepare the classroom with the teacher before class and help tidy up the classroom
      • Welcome parents and kids to class
      • Play with children during the free play period
      • Assist the teacher with the organization of classroom activities
      • Provide individual help to children
      • Accompany children on field trips
      • Help the teacher maintain a proper learning atmosphere

On your first day, you will be asked to come a little bit earlier for training. You will have one hour of lunch break every day.
