Job Title: Staff Accountant

Position Summary: The French Institute Alliance Française (FIAF) seeks a candidate for the position of Staff Accountant. Under the direction of the Comptroller, the Staff Accountant will be responsible for general accounting and bookkeeping responsibilities as well as assisting the team with various projects.

Main responsibilities may include, but not be limited to:

  • Process invoices by check or wire and posting them to the correct ledger in QuickBooks
  • Review expense reports and statements and process and post them to correct accounts
  • Prepare weekly bank deposits and post them to the general ledger
  • Coordinate with our various departments to follow-up on questions about payments and receivables
  • Process payroll using ADP Workforce now
  • Process bi-weekly funding for 403b, FSA and Transit
  • Assist with annual audit
  • Prepare annual 1099 forms

Qualifications:

  • Bachelor’s in Accounting or Finance required.

Position Summary: FIAF is looking for a HR Assistant to join our organization. In this position, you will help organize, coordinate and carry out all human resource department projects and processes for the company. You will work directly with and assist the human resources director to fulfill a variety of necessary HR tasks. This includes all hiring, firing, training and company education procedures for new or existing employees. You must track and maintain all employee data (contact information, earning rates, absences, promotions, etc.) often using paper and HRIS (Human Resource Information System) software, so strong computer and clerical skills are a must. Job Title: Director of Operations

Position Summary: FIAF is looking for a seasoned Director of Operations to oversee the daily operations of our institution. You will be ensuring a fluid coordination between departments for all operations matters, will be devising and implementing processes to facilitate project and event coordination as well as training members of your team. FIAF is a complex organization made of departments that operate differently, in their own section of the building for the Language Center but also in shared event spaces. Your role will be to help prioritize the operations needs and resources of each department. The area of responsibility for this role is large and thus requires thorough knowledge of various company processes and systems. Job Title: Sales & Events Manager
Department: Events Management
Reports to: Director of Operations
Designation: Full-time

Position Summary: Under the supervision of the Director of Operations, the Sales and Events Manager is responsible for the oversight, management, development, implementation, and coordination of FIAF events and rentals to support the mission and goals of the organization. The Sales and Events Manager must be able to work well in a team environment as well as with a range of people and personalities. Successful candidates will be expected to demonstrate success in an event function. This is a full-time position, which is based at FIAF.

Marketing and Sales:

  • Market and sell the venues & catering packages to corporations, PR firms, event management companies and organizations that hold events
  • Find new clients and generate new revenue streams (from new as well as existing clients)
  • Identify appropriate networking places to list, promote, and advertise FIAF’s venues
  • Coordinate with other FIAF Departments, including External Affairs, Membership and Marketing to promote venues with FIAF’s constituencies
  • Assist the Events Coordinator with new inquiries and managing events’ logistics
  • Work to advance the image of events at FIAF by being the primary contact of clients for the implementation of their event

Budgeting & Financing:

  • Build, manage and monitor the Rental Department’s budget and forecasts
  • Control and monitor all expenses
  • Generate all income reports & rental client lists
  • Keep accurate records of all rental activities & history
  • Keep track and ensure timely payment of all deposits and settlements

Position Summary: FIAF is seeking friendly and resourceful people to join its events team. Events range from simple screenings in FIAF’s 361-seat theater to multi-room conferences and catered receptions. Event staff ushers or caters, depending on events, and is the public face of FIAF for our audiences and rental clients. Kindness, professionalism, and a calm demeaner in a fast-paced environment are of utmost importance for our events staff.

Responsibilities and duties:

  • Facilitate a friendly, comfortable, and safe atmosphere at FIAF’s events.
  • Facilitate audience flow through an event (entry, seating, departure), including answering questions about FIAF policies (no eating in the theater, for example) and directing audiences to venues within FIAF’s building.
  • Scanning tickets, seating folks when seats are assigned, trouble-shooting any seating complications that may occur.
  • Ensuring compliance with FIAF’s Covid Safety Protocols, including checking for proof of vaccination.
  • Catering, including passing hors d’hoeuvres, bar tending, and bussing at receptions and dinners.
  • Simple setup of facilities, including tables, chairs, stanchions, and signage.
  • Simple cleaning of event department’s supplies, including the return of chairs and tables to their closets, pulling inside any signage or stanchions used on the sidewalk, and leaving the kitchen clean after catered events.
  • Stay in communication with head usher/caterer, as well as with the technical and maintenance departments should anything require their attention.
  • Ensure that facilities are clean and clear should an emergency arise. This includes making sure that all aisles are clear, and all doorways are unobstructed.
  • Problem solving complaints and emergencies, including medical emergencies (calling 911, collecting information, etc.).

Job Title: Language Center Operations Assistant

The FIAF Language Center is the largest language school dedicated to teaching the French language in the tri-state area. With more than 8,000 registrations annually, we offer French in two convenient locations: Manhattan’s Upper East Side and Montclair, NJ.

Position Summary: The Language Center Operations Assistant will be on the frontlines of customer service for the FIAF Language Center. S/he will be knowledgeable in all Language Center activities (group classes, private lessons, corporate lessons, exams, camps) and be able to confidently reply to any customer or potential client. S/he will look for patterns in these interactions in order to help improve communication with students as well as the Language Center’s own operations. The hours for this position are Tuesday-Friday 8:15am-4:15pm or 1pm-8pm, Saturday 8:45am-4:45pm at our Montclair, NJ location. There is a possibility to work full-time or part-time.

Responsibilities:

  • Greet and welcome clients and students, answer all questions they may have.
  • Answer questions by phone and email promptly.
  • Register students in group classes, private lessons, or exams in person or by phone.

FIAF Montclair is looking for enthusiastic teachers of French as foreign language to teach French language and culture to young children, teens and adults. The teacher will plan, implement and assess lessons and will teach with patience and creativity. FIAF Montclair is a branch of the French Institute Alliance Française (FIAF) in Manhattan offering language-learning programs for adults, toddlers (ages 2-5), kids (5-11) and teens (11-18) from beginner to advanced levels, including French for native-speakers. Responsibilities

  • Teach French classes in person Tuesday through Saturday. Teaching hours can be scheduled Tuesday through Friday between 7:30am and 3:30pm, between 9:45am and 5:45pm, or between 1:15pm and 9:15pm, and Saturday between 8:45am and 4:45pm. Teaching schedules can change from session to session.
  • Design and follow a complete teaching plan about French language and culture

Benefits
All employees receive earned sick leave. Teachers working at least 800 hours within a calendar year receive PTO. Teachers working 1000+ hours within a calendar year receive PTO and are eligible for health insurance.

FIAF Montclair is looking for enthusiastic teachers of French as foreign language to teach French language and culture to young children, teens and adults. The teacher will plan, implement and assess lessons and will teach with patience and creativity. FIAF Montclair is a branch of the French Institute Alliance Française (FIAF) in Manhattan offering language-learning programs for adults, toddlers (ages 1-4), kids (5-10) and teens (11-17) from beginner to advanced levels, including French for native-speakers.

Responsibilities

              • Design and follow a complete teaching plan about French language and culture
              • Organize learning material and resources
              • Use a variety of activities and instructional methods relevant to the audience to stimulate the learning process and the students’ abilities
              • Assess students’ performance and progress to ensure they are mastering the skills on regular basis
              • Monitor students’ interactions in the classroom and nurture cooperation and sharing
              • Cooperate with administration staff
              • Follow and comply with FIAF teaching standards
              • Assist in the development and organization of educational, cultural and social activities to help grow the FIAF members’ community in its Montclair, NJ location
              • Participate in development and collaboration for events within and outside of FIAF to attract new students and members

Qualifications:

                • Native French-speaker or equivalent proficiency, ability to communicate clearly in English
                • Proven working experience as a teacher of French as a foreign language
                • Excellent knowledge of latest education theories and practices in the field of foreign language teaching
                • Excellent knowledge of the French and Francophone cultures
                • Creative and artistic teaching abilities
                • Teaching and organization skills
                • Patience and flexibility
                • Strong communication skills
                • Keep abreast with the latest trends and best practices
                • Master’s degree in teaching French as a foreign language or relevant bachelor’s degree/certificate (Licence FLE, DAEFLE, or equivalent)
                • Artistic skills a plus (performing or visual arts)

Position Overview:
The French Institute Alliance Francaise (FIAF) in New York is currently looking for a design intern for a 12-month internship, in-person and based in NYC, starting on September 6, 2022. The successful candidate will be dedicated to producing work with close attention to artistic and typographic detail in a fast-paced environment. Projects include brochures, flyers, posters, invitations, postcards, social media posts, web banners, and building signage.

What to expect:

  • Seeing designs go from your initial concept to final production, whether it’s to print or being launched on our website and social media channels

Responsibilities:

  • Learning from the Multimedia Designer about marketing design principles
  • Managing deadline driven schedules
  • Helping to organize the design projects calendar
  • Meeting weekly deadlines for projects and proactively sharing status updates with Multimedia Designer, VP, and wider Marketing team
  • Collaborating with the Multimedia Designer, VP, and Marketing team to develop creative concepts and designs

Education/Skills Required:

  • Achieved or currently pursuing a Bachelor of Fine Arts with a concentration in Graphic Design
  • Advanced knowledge and experience with InDesign, Illustrator, and Photoshop
  • Knowledge of Flash, Dreamweaver, After Effects, and Final Cut Pro
  • Strong skills in motion design and photography are a strong plus
  • Strong attention to detail, well organized and able to multi-task, changing gears when necessary
  • Deep experience and comfort with using Mac operation systems
  • Strong attention to typography
  • Knowledge of French required
  • Must be available for a 12-month internship, in-person and based in NYC

Education/Skills Required:
